Invoices

Navigation: Invoices tab

Web vs mobile: Mobile shows accounting invoice snapshots synced from Xero for triage and AR review. Create invoices, edit line items in Xero, and manage OAuth on BillingOne web. Use Open in web on a detail row to jump to the full invoice in Xero.

The Invoices tab lists invoices pulled from your accounting system (primarily Xero, plus SuperOps when connected). Monitor payment status, amounts outstanding, and overdue items from your phone or iPad.

Summary Cards

At the top of the list, summary metrics mirror the web Invoices page:

CardDescription
Paid This MonthTotal received in the current calendar month
OutstandingTotal amount owed across open invoices
DraftInvoices not yet sent to clients
OverdueCount of invoices past due date

Tap a card to apply the matching filter preset.

Invoice List

Each row shows:

FieldDescription
Invoice numberReference from Xero or SuperOps
ClientMapped PanelOne client
AmountInvoice total in reporting currency
StatusDraft, Submitted, Paid, or Overdue
Due dateExpected payment date

Tap a row for detail — line items, payment status, external reference, and an Open in Xero (or accounting) link.

Invoice Statuses

StatusMeaning
DraftCreated but not sent
SubmittedSent to client, awaiting payment
PaidPayment received
OverduePast due without payment

Syncing from Xero

Trigger a sync from the Invoices toolbar or from Settings → Integrations:

  1. Tap Sync from Xero
  2. Wait for completion (spinner on the button)
  3. The list refreshes with new and updated invoices

BillingOne Mobile supports delta sync (changes since last run) and full sync (complete refresh). Full sync is available from Integrations when data looks inconsistent.

Connect Xero OAuth on BillingOne web before your first sync.

Use the search field to filter by invoice number, client name, or amount.

Open the filter sheet to narrow by:

  • Status — Draft, submitted, paid, overdue
  • Client scope — Limit to one client when scoped

Active filters appear as filter chips below the search bar. Tap a chip to clear it.

CSV Export

Export the current filtered list:

  1. Tap Export CSV in the toolbar
  2. Share via AirDrop, Mail, Files, or another app

The export includes invoice number, client, amount, status, due date, and currency — useful for collections follow-up outside the app.

Invoice Detail

The detail screen shows:

  • Header — number, client, status badge, amount
  • Line items — description, quantity, unit price, tax
  • Payment info — amount due, amount paid, due date
  • External link — Open in Xero for editing, sending, or recording payment

Mobile is read-only for accounting invoices — all writes happen in Xero or on web.

Tips

  • Sync weekly at minimum to keep AR current
  • Watch the Overdue card on Home and Invoices for collections priority
  • Use CSV export for finance meetings when you need a spreadsheet
  • Open in Xero for anything beyond status review
