Reconciliation

Web vs mobile: Mobile shows the same device-vs-license variance as BillingOne web with summary cards and per-client drill-down. Deep catalog/contact reconcile jobs and export-heavy workflows may be faster on web; Sync tools hub is available on both.
Reconciliation compares actual device counts (from your RMM via PanelOne) against licensed quantities (from Pax8) to find billing gaps.
Summary Cards
Three cards at the top mirror the web dashboard:
| Card | Meaning |
|---|---|
| Under-licensed | More devices than licenses — potential lost revenue |
| Over-licensed | More licenses than devices — client may be overpaying |
| Properly licensed | Counts align |
Tap a card to filter the client list to that status.
Client Comparison List
Each client row shows:
| Column | Description |
|---|---|
| Client | Client name |
| Devices | Snapshot count from RMM |
| Licenses | Subscribed quantity from Pax8 |
| Variance | Difference (positive = under-licensed) |
| Status | Matched, under-licensed, or over-licensed |
Tap a client for detail and links to subscriptions and client billing snapshot.
Device Snapshots
Device counts come from snapshots taken by BillingOne:
- Tap Take snapshot (or run Sync All from Home, which includes device snapshot refresh)
- BillingOne counts devices per client from RMM data
- Compares to Pax8 subscription quantities
- Results appear in the list
Run snapshots on a consistent schedule (e.g., monthly billing cycle) for comparable results.
Sync Tools
Open Sync tools from the Reconciliation toolbar for deeper sync actions:
| Tool | Purpose |
|---|---|
| Device snapshot | Refresh RMM device counts |
| Catalog sync | Update product catalog used in mapping |
| Contacts sync | Refresh client contact mapping |
| Full reconcile | Coordinated reconcile pass |
Individual integration sync also lives under Settings → Integrations.
Understanding Variance
Positive variance (under-licensed)
The client uses more devices than licenses. Action: increase Pax8 quantity or bill for additional seats.
Negative variance (over-licensed)
The client pays for more licenses than devices. Action: right-size the subscription to maintain trust.
Zero variance (matched)
Device count equals license count — billing is aligned.
CSV Export
Export the filtered reconciliation list as CSV for billing reviews, client conversations, or audit records.
Tips
- Run reconciliation monthly as part of your billing cycle
- Address under-licensing first — it is direct lost revenue
- Take snapshots at the same time each month for trend consistency
- Use client scope when preparing a single-client QBR
